8/14/10 Meeting!


Members present:  Petra Anderson, Kathryn Bauman, Petra Anderson, Molly Benjamin, Pat Winkles, Denise Brady, Kellee Helwig, Connie Johnson, Karen Stell

Kathryn Bauman called the meeting to order and welcomed new members:  Holly Benjamin, Kellee Helwig, Connie Johnson, and Karen Stell.  Kathryn asked Connie to take minutes for the meeting.

Kathryn reported for the treasurer that the bank balance is $559.10.

Kathryn opened discussion for the December Holiday Season meeting.  The Tennessee Equine Hospital has an excellent space for us to meet and have a holiday party for the membership and guests.  We could tour the facility and have an educational presentation, followed by a party.  Members would all be strongly encouraged to bring a guest as the club has much to offer.   Guests do not have to be riders.  Anyone interested in the club and supporting the club would be welcome.   Kathryn will check with the facility about December 11th.

Other ideas to grow club membership were discussed:  give members a discount on schooling shows and offering more educational opportunities.  Possible educational opportunities include a session on show and clinic etiquette, and a bandaging/wrapping class.  Petra and Kellee will work on this.  A date needs to be set for this.

Kathryn announced that the next schooling show at PVS will be Sept 11 with a Kim Gentry Clinic Sept 12.

Opportunities to increase jumping/eventing interest were discussed.  The Eventing show will be moved to November 20th to allow sufficient time to adequately plan for this club event.  Connie Johnson volunteered to be the show organizer.  We will have three levels:  18 inches, 2 foot, and 2 foot 3 inches to 2 foot 6inches. 

A trail and Schooling day at Font Hill Farm will be September 25th 9 am to 11:30 am.  Connie Johnson and Karen Stell will lead this ride.  Connie will prepare a description that can be posted on the web site.  The ride will be $10 for each rider for the club and the ride will be limited to 10 riders.

The Nominations for the Board for 2010-2011 were discussed.  Nominations are open until Nov 1, voting will end Nov 30.  Riley will prepare a web based ballot.  The number of members at large was discussed and voted on with the majority voting for three total members at large.  Membership can email Kathryn with nominations to be added to the slate.   The Slate to date is as follows:

12/12/09 Meeting!

After a wonder lunch at Sara Harrington’s home on 12/12/2009, Kathryn Bauman (president) called the meeting to order.  In attendance were Kathryn Bauman, Kendra Bauman, Petra Anderson, Ray Anderson, Riley Anderson, Marchella Richardson, Kim Osborn, Sara Harrington, John Bauman, Meredith Tarkington, and Marie Macdonald.

New officers were announced.  Kathryn Bauman as President, Petra Anderson as Vice President, Kim Osborn as Treasurer, Marie McDonald will be secretary with Sarah Harrington as backup.  Board Members at large are Kathy Fergus, Kendra Bauman and Sarah Harrington. The club discussed having a bimonthly to quarterly newsletter and Marie was as ked to do that and accepted.  Riley Anderson will take care of web updates and Meredith Tarkington will be the club’s Junior Representative.

There was discussion about having a scholarship for members of up to $1000 for educational purposes with the winner of the scholarship reporting back to the membership about their experience.  The group agreed that we should do this.  Kathryn will make out an application for the scholarship.

The treasurer reported that there was $700 in the account.  $370 was made at the last show on 9/5/09.  All agreed that since Pioneer Valley Stables was hosting schooling shows for free that they be allowed to run and take profits from the concession stand.

There was discussion on a membership drive and a membership challenge. The goal is for everyone is to try to get 5 new members by the 1st event this year which is the musical freestyle clinic in March.  There will be a prize for the person who brings in the most members.

The prices for the musical freestyle clinic were discussed.  The tentative fees would be $250 for members which includes the Friday night lecture and $300 for non-members.  We are expecting a grant from USDF for this event.  Kim is filling out the paperwork for this.  The tentative fee for auditors would be $25 for 1 day, $40 for 2 days and $65 for all 3 days for members.  Non-members fees would be an additional $5 per day.  Kathryn will as k Kathy Fergus or Jill if they would volunteer to organize lunch at the clinic since it will be held at 4 Rivers.

Sarah Geike will be here April 4th for the show and the club agreed to have her do a ride a test type of clinic the next day.  These will be held at PVS.

Since we do have CT in our name it was suggested that we look into an eventing type of clinic.  Kathryn Bauman will research different clinicians and report back.

Future programs were discussed.  Kim and Kendra agreed to look into setting up a medical informational/educational type of clinic. Possibly with the vets in Franklin at their new facilities.  More local clinicians will be looked into possibly combining a clinic with the fall show.  Kim Gentrys name was brought up for this.

The group discussed having a fun/work type of a day at PVS since they do host all of the clubs events for free.  Twice a year (spring and fall) would work well for doing some maintenance type of things like painting jumps, etc.  The first one would be on March 6th at 10:00am.

We can all meet, do some work and have a pot luck lunch.  The 10am time would also give everyone time to do stuff at home in the morning and evening.

The group agreed that either volunteer hours or an obtaining $50 in donations or sponsorships would be required for someone to be eligible to win year end awards.  Scores from other shows are accepted but you must send them in by October 31st.  The show must be a GMO schooling show or rated show.  Thank you notes to sponsors will be posted on a sponsor’s page on the web site.

Petra told the group that Kathryn had been invited to Florida to school with George Williams for 2 weeks in February.  The club agreed to support her with an award for $500 making her the 2010 scholarship winner.  If money is available the club may decide to have another 2010 winner later in the year.
